Paramount Estates will take responsibility for the maintenance and repair of the fabric of the buildings as prescribed under the obligations contained within the lease. This will include:

General Repairs: Planned preventative maintenance; Reactive maintenance;

Cleaning: External cleaning to all common parts; Spot cleaning in response to one off incidents;

Landscaping: Maintenance of all external landscaped areas; Spring planting / summer bedding; Improvements and upgrading as may be required;

Access Systems: Intercoms; Automated gates; Keypads; Issuing and programming remotes; Maintaining database of allocated users;

Security: Implementation and maintenance of security systems and procedures as required including, CCTV systems;

Mechanical & Electrical: Maintenance of all light fittings and associated plant; Servicing and maintenance of water pumps;

Life Safety Systems: Fire Hydrant Testing; Hose Reels;

Waste Management: Refuse collecting; Implementing recycling guidelines; Upkeep of refuse storage areas; One off collections; Monitoring fly tipping; Compliance with current regulations;

Pest Control: Provision of satisfactory deterrents against vermin infestation;

Signage: Provision of required traffic, health & safety, and directional signage throughout the development;

  • Prepare Budget two months before year end

  • Prepare payment options and debt collection procedure

  • Present to Board and obtain approval

  • Issue demands at least one month before start of financial year

  • Demands in accordance with lease terms

  • Properly record all payments to owners account

  • Administer and record payments by standing order

  • Issue reminders and initiate actions in accordance with debt collection procedure

  • Maintenance and updating of debtor and creditor information

  • Maintenance of proper financial records, books of accounts and financial statements

  • Liaison with solicitors on referred matters

  • Monitor actual expenditure against budget

  • Prepare management accounts and pass same to auditors for annual audit

  • Manage sinking fund reserves

     

  • Maintain member’s database

  • Statutory compliance with company legislation

  • Arranging company members / client meetings

  • Answering members queries

  • Compliance with Health & Safety legislation

  • Issuing of notices and circulars as required

  • Liaison with Insurance Brokers

  • Placing of cover for material damage

  • Placing of cover for public liability

  • Placing of cover for Directors & Officers Liability

  • Processing of insurance claims

  • Periodic revaluations

  • Compliance with insurers notices

  • Issuing of insurer policies on request

  • Maintaining schedule of member’s interest

  • Act as company secretary.

  • Provide registered office.

  • Prepare and issue minutes.

  • Call AGM’s and EGM’s.

  • Appointment of directors.

  • Holding members certificates.

  • Filing of annual returns.

  • Arranging audited accounts.

  • Queries on audited accounts.

  • Staff member appointed to handle 24hr dedicated emergency helpline.

  • This service is dealt with in house and is not delegated to a third-party contractor.

  • Efficient response to urgent queries.
